- Chamber of Commerce (KVK): 62769960
- VAT: NL002443037B21
- Privacy questions and requests: business@wibs.nl
2. Data we collect
What you give us
- Your inquiry: the brief you type on the homepage, your answers to the follow-up questions in the studio, and any files or details you add. Please do not include sensitive data (health, political views and similar) or other people's personal data unless it is needed for the project.
- Contact details: name, email address, company and phone number, when you save them in the studio or contact us.
- Phone verification: the number you verify, the time it was verified, and the one-time code we send (which expires within minutes).
- Consent choices: whether you agreed to be contacted about your inquiry and, separately, to receive updates, with the time you agreed.
- Project and billing data: once you become a client, contract details, correspondence, invoices and payment records.
What we collect automatically
- Technical data: IP address, browser and device type, pages requested and the time of the request. We use your IP address to limit how many free sessions one visitor can start and to block abuse.
- Cookies and similar technology: see section 8. Optional cookies are only placed after you agree.
3. Why we use it, and on what legal basis
| Purpose | Data | Legal basis (GDPR art. 6) |
|---|---|---|
| Answer your inquiry and prepare your Digital Product Blueprint | Inquiry, answers, contact details | Steps you asked for before a contract (6(1)(b)) |
| Verify your phone number and prevent abuse of the free studio | Phone number, IP address, technical data | Our legitimate interest in keeping the service available and genuine (6(1)(f)) |
| Deliver projects, support and maintenance | Contact, project and billing data | Performance of the contract (6(1)(b)) |
| Keep invoices and financial records | Billing data | Legal obligation under Dutch tax law (6(1)(c)) |
| Send occasional updates about Wibs | Name, email | Your consent, which you can withdraw at any time (6(1)(a)) |
| Measure how the site is used | Analytics cookies, technical data | Your consent (6(1)(a)) |
| Measure and personalise our advertising | Advertising cookies, technical data | Your consent (6(1)(a)) |
| Improve our service and workflows | Generalised, de-identified patterns only | Our legitimate interest in improving the service (6(1)(f)) |
Where we rely on legitimate interest, you can object at any time (see section 9).
4. How AI is used on your data
Our AI Workforce reads your brief and answers to ask follow-up questions and draft your blueprint. To do that, the text you enter is sent to the AI model providers we work with (see section 5). Those providers process it on our behalf to produce a response. We use their business services under terms that do not allow them to train their models on the content we send.
The blueprint is a first proposal, not a decision about you. A person on our team reviews any solution before it goes into production, and we make no decisions with legal or similarly significant effects based solely on automated processing (GDPR art. 22).
Your inquiry is kept separate per project and is never shown to another client or used to answer another client. We learn only generalised patterns from our work, never your private data.
6. Transfers outside the European Economic Area
Some of these providers are based outside the EEA or use infrastructure there. Where data leaves the EEA, we rely on an adequacy decision of the European Commission (such as the EU-US Data Privacy Framework for certified US companies) or on the European Commission's Standard Contractual Clauses, with additional safeguards where needed. You can ask us for a copy of the safeguards that apply.
7. How long we keep it
| Data | Retention |
|---|---|
| Inquiries that do not become a project | 12 months after our last contact, then deleted |
| Verification codes | Expire within minutes; the record that a number was verified is kept with the inquiry |
| Project data and correspondence | For the duration of the project and 2 years after it ends |
| Invoices and financial records | 7 years, as Dutch tax law requires |
| Update mailing list | Until you unsubscribe or withdraw consent |
| Server and security logs | Up to 90 days |
| Your cookie choice | 12 months, after which we ask again |
9. Your rights
Under the GDPR you can ask us to:
- give you a copy of the personal data we hold about you (access);
- correct data that is wrong or incomplete (rectification);
- delete your data (erasure), unless we must keep it by law;
- limit how we use it while a question is being resolved (restriction);
- send you your data in a common machine-readable format (portability);
- stop using it where we rely on legitimate interest, or for direct marketing (objection);
- withdraw consent you gave earlier. Withdrawing does not affect processing before it.
Email business@wibs.nl. We answer within one month and may ask you to confirm your identity first. If you are unhappy with how we handle your data, you can complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
10. Security
We protect data with encrypted connections (HTTPS), access limited to the people who need it, separate storage per project, and regular updates of our systems. No system is completely secure; if a breach puts your rights at risk, we will inform you and the authority as the law requires.
This site is not intended for children under 16, and we do not knowingly collect their data.
11. Data we process for clients
When we build or run a website, app or campaign for a client, the personal data of that client's own customers is processed on the client's instructions. In that role the client is the controller and we are the processor, and a separate data processing agreement applies. Questions about that data should go to the client first.
12. Changes and contact
We update this policy when our services or the law change. The date at the top shows the latest version; for significant changes we will tell you through the site or by email.
